■ Privacy notice
Updated 29 October 2026

Your data, handled plainly.

What we collect, why, and what you can do about it.

This notice covers basecampstudios.uk, the newsletter and the work we do with clients. If anything here isn’t clear, ask Charlie directly.

■ In brief
Six things to know

The short version.

01What we collect

What you send us, how you use the site if you agree, and what’s needed to run a project.

02Cookies

Analytics and advertising cookies only run if you say yes. You can change your mind at any time.

03Newsletter

Only if you sign up. Every email has an unsubscribe link.

04Sharing

We never sell your data. It goes only to the tools that run the studio.

05Keeping it

Only as long as we need it, then it’s deleted.

06Your rights

See it, correct it, delete it or object. Email us and we’ll reply within a month.

12 sections

The detail.

01

Who’s responsible

Base Camp Studios LLP is responsible for your personal data (the “controller”, in data protection terms). We’re a limited liability partnership registered in England and Wales, number OC434702, with our registered office at The Robbins Building, Albert Street, Rugby, Warwickshire, CV21 2SD.

For anything about your data, email Charlie at charlie@basecampstudios.uk.

02

What we collect

  • When you get in touch: your name, email, company and whatever you tell us through the contact form, the brief or by email.
  • When you sign up to the newsletter: your email address.
  • When you browse the site, and only if you agree: how you use it. Pages viewed and for how long, how you arrived, your device and browser, roughly where you are (to city level) and whether you got in touch.
  • When we work together: contact details, project information, invoices and payments, and notes and recordings of calls and meetings.

We don’t ask for sensitive information, such as health details, and the site isn’t aimed at children.

03

How we use it, and why we’re allowed to

The law asks us to name a reason, or “lawful basis”, for each use. Here they are.

What we do
Why we’re allowed to
Reply to your enquiry or brief
Our legitimate interest in replying to people who contact us, or steps you’ve asked for before a contract
Run your project, invoice and keep records
To carry out our contract with you, and to meet tax and accounting law
Send the newsletter
Your consent
Measure how the site is used
Your consent, given in the cookie banner
Measure and target our advertising
Your consent, given in the cookie banner
Record calls with AI note-taking
Our legitimate interest in an accurate record that protects both sides. We tell you first, and you can say no
Keep the site secure and working
Our legitimate interest

We don’t make decisions about you by automated means alone.

04

Cookies and tracking

Cookies are small files your browser stores. Some are needed for the site to work. Others tell us how the site is used, or help us measure and target our advertising. Those only run if you agree.

The first time you visit, a banner asks what you’re happy with. Analytics and advertising stay off until you switch them on, and saying no doesn’t stop the site working. You can change your choice at any time from Cookie settings at the foot of every page.

Google, Meta and LinkedIn also use this data under their own privacy policies, which explain how to manage your ad settings with them: Google, Meta and LinkedIn.

05

The newsletter

If you sign up, we’ll send occasional notes from the studio and the field. Your email address is used for that and nothing else. Every email has an unsubscribe link, or you can email us and we’ll take you off the list.

Our email platform stores your address on our behalf and tells us whether an email was opened or a link clicked, so we can see what’s useful.

06

Who we share it with

We never sell your data, and we don’t share it for anyone else’s marketing. We use trusted providers to run the studio, and they only handle your data on our instructions:

  • Webflow, which hosts this site and receives form submissions.
  • Google Workspace, for email, calendars and documents.
  • Bonsai, for proposals, contracts, projects and invoices.
  • Xero, for accounting, and our bank when you pay us.
  • Plaud, for AI call recordings and transcripts.
  • Our email platform, for the newsletter.
  • Google, Meta and LinkedIn, for analytics and advertising, only if you’ve agreed.
  • Subcontractors on your project, who see only what they need, under confidentiality.
  • Our accountants and professional advisers, and public authorities where the law requires it.
07

Outside the UK

Some of these providers are based in, or store data in, the United States or the EU. Where data leaves the UK, it’s protected by UK adequacy arrangements, such as the UK–US Data Bridge, or by the UK’s approved contract terms for international transfers.

08

How long we keep it

  • Enquiries that don’t become work: up to two years, then deleted.
  • Client and project records, including invoices: as long as tax and accounting law requires, usually six years.
  • Call recordings and transcripts: until the project is finished and the record is no longer needed.
  • Newsletter: until you unsubscribe.
  • Analytics: 14 months, then deleted automatically.
09

Your rights

You can ask to see the data we hold about you, correct it, delete it, limit how we use it, or take a copy to use elsewhere. You can object to any use based on our legitimate interest, and to marketing at any time. Where you’ve given consent, you can withdraw it whenever you like.

Email charlie@basecampstudios.uk. We’ll reply within one month, free of charge, and may ask you to confirm who you are first.

10

Keeping it safe

Your data lives in the secure, access-controlled tools listed above, not on loose files or personal devices. Access is limited to the people working on your project, and we use strong passwords and two-step sign-in wherever it’s offered.

11

Complaints

If you’re unhappy with how we’ve handled your data, tell us first and we’ll put it right. We’ll acknowledge a complaint within 30 days.

You can also complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.

12

Changes to this notice

We’ll update this page whenever the way we handle data changes, for example when we add a new tool. The date at the top shows when it last changed.
